4-H E-Mail Lists

Electronic Mail Groups are used to send e-mail to a group of people without typing in the address of everyone in that group. Individuals first "subscribe" to the mail group. Then, mail sent to that group is automatically forwarded to each individual who has joined.  The popularity of our 4-H e-mail lists (list serves) is indicative of how much we all rely on electronic communication today. This popularity has led to the creation of over 45 e-mail lists in which 4-H members, volunteers and staff participate.  Flyer (Word) (PDF)


Email List Guidelines

4-H email lists help facilitate 4-H Youth Development Program discussion and dissemination of information. Participants in a 4-H email list should help maintain an open, positive and respectful atmosphere. E-mail messages to a 4-H email list should be 4-H focused and adhere to the policies of the University of California and the 4-H Youth Development Program.

The following guidelines apply while participating in a 4-H email list:

  • Maintain respect for individuals and their ideas (even if you do not agree with those ideas)
  • If you have a personal comment for someone, email them privately, instead of the entire list
  • Write about the issue at hand, not about any of the people involved.
  • Never use full names and/or locations of youth in a public email.

Messages should not contain the following:

  • Harassment or disrespect to an individual or group.
  • False and/or deliberately inaccurate information
  • Specific religious orientations or political opinions
  • Profanity
  • Advocacy of the use or possession of illegal substances or alcoholic beverages
  • Advocacy of the illegal use or the illegal possession of weapons
  • Solicitation or the advocacy of sexual misconduct.

The following consequences may be used by list owners and/or moderators on a 4-H email list:

  • Moderate (monitor) the sender's email to the list
  • Not allow postings from the sender to the list
  • Ban the sender from the list

Please be aware that the forwarding of inappropriate emails is considered the same as authoring them.


Listserv Management and Maintenance

The management of ucdavis.edu lists takes place in our State 4-H Office and consists of a variety of tasks including creating/deleting lists, adding/removing members, and changing the e-mail addresses of existing members. When members of an e-mail list change their e-mail address without removing themselves from the list, or allow their e-mail box to fill up, the e-mail list server generates an error notification back to the list managers here in the State 4-H Office. To reduce the management impact that the volume of error messages creates, lists are configured to automatically remove members whose e-mail accounts "bounce". This is a necessary step in e-mail list management.

You can help in a several ways:

  1. Insure that your e-mail quota has not been exceeded. Periodically download all of your messages and make sure that they are not left on your e-mail server after download. (This is an option in most e-mail client programs such as Outlook Express/Outlook, Eudora etc.)
  2. If you change e-mail addresses, please delete yourself from your e-mail lists prior to forfeiting your current address and then re-join the list with your new e-mail address.
  3. If you have an e-address that is deleted from a list and needs to be re-instated, please call the State 4-H Office at 530-754-8518 or email at smworker@ucdavis.edu.

NOTE: Any ISP that uses SpamCop to block emails have chosen to block the UC Davis list server. Individuals not getting emails from the list can request that their ISP list 128.120.32.169 which is the IP address of the campus list server.
